Company Overview

The 440 Productions, a professional event management company and secretariat service provider, is seeking a highly organized and proactive Executive – Marketing Admin to support the administration of a leading business association in Hong Kong.

Job Description

In this executive-level role, you will work closely with the association’s leadership team to support essential administrative functions, marketing activities, event coordination, and member engagement. You will act as a key communicator among association members, partners, and stakeholders, contributing to the growth and smooth operations of the organization within the business and facility management sector.

Responsibilities

  • Chapter Administration
    • Serve as a primary point of contact for the association, providing day-to-day administrative support to the Executive Committee and assisting with association activities.
    • ⁠Support membership management by responding to inquiries, assisting with onboarding new members, and updating member records.
    • ⁠Help ensure association activities comply with global standards and guidelines.
  • Marketing and Communications
    • Assist in developing and implementing marketing campaigns to promote association events and membership benefits.
    • Support the management of the association’s digital presence, including updating the website, scheduling email campaigns, and posting on social media.
    • ⁠Help draft and distribute newsletters, announcements, and marketing materials to engage members and external audiences.
    • Assist in liaising with sponsors, media, and partners to enhance the association’s visibility.
  • Event Coordination
    • Provide administrative support for the planning and delivery of association events, such as seminars, workshops, and networking activities.
    • ⁠Assist with event logistics, vendor coordination, and preparation of post-event reports.
    • Work with volunteers, committee members, and vendors to ensure smooth event execution.
  • Board of Directors Support
    • Help coordinate the Board of Directors’ schedules and support their participation in association and industry events.
    • ⁠Assist in organizing Board meetings, including preparing agendas, taking minutes, and tracking follow-up actions.
  • Financial and Reporting Support
    • Support the preparation of basic budgets, financial reports, and administrative documents.
    • Help monitor and record expenses related to marketing, events, and association operations.

Qualifications and Skills

  • ⁠Minimum 1 year of experience in marketing, administration, or event coordination. Previous experience with non-profit organizations, membership associations, or professional societies is an advantage.
  • Bachelor’s degree in Marketing, Business Administration, or a related discipline.
  • Strong organizational and multitasking skills with attention to detail.
  • Familiarity with digital marketing tools, website CMS platforms, and social media.
  • Excellent written and verbal communication skills in English and Chinese
  • Ability to work independently and as part of a team.
  • Proficient computer skills, including Word, Excel, PowerPoint. Familiarity with MacOS and Apple Products is preferable.
